Automated Moodle & LMS Learner Onboarding & Enrolment

Automatically create learner accounts, send welcome emails, and enrol learners into Moodle and LMS units using verified learner data.

Challenge

Education providers often manage new learner onboarding manually. When a new learner is added to their system, staff may need to create an account in Moodle and other LMS platforms, send login information, and manually enrol the learner into the correct units.

As learners progress through their programs, new units may become available at specific dates. Staff then have to check schedules, verify learner data, determine which learners should be enrolled, and perform the enrolment manually.

This creates repetitive administrative work and increases the risk of incorrect learner data, missed enrolments, duplicate accounts, and delayed access to learning materials.

Solution

We built an automated Moodle and LMS learner onboarding and enrolment workflow using n8n, Moodle APIs, LMS integrations, JavaScript, and HTTPS.

The workflow automatically monitors incoming learner data and identifies new learners who are ready for onboarding.

The system verifies the learner's information before processing and uses the available data to create learner accounts on Moodle and connected LMS platforms.

Once the accounts are created, the automation sends each learner a personalized welcome email containing their platform access information and onboarding instructions.

The workflow then automatically enrols learners into the appropriate Moodle and LMS units based on their course, program, or enrolment requirements.

When a new unit becomes available, the system automatically checks the learner's data, program, and scheduled enrolment conditions. When the required conditions are met, the learner is automatically enrolled into the new unit without staff needing to manually process the enrolment.

This creates a complete automated workflow covering learner data verification → account creation → welcome email → Moodle/LMS enrolment → scheduled unit enrolment.

Results

The automation significantly reduced the manual work involved in learner onboarding and ongoing Moodle/LMS enrolment.

New learners can be automatically identified, their data verified, accounts created on Moodle and LMS platforms, and welcome emails sent without requiring staff to complete each step manually.

The system also handles scheduled unit enrolments automatically, allowing learners to gain access to new learning units when the required date or conditions are reached.

This improves consistency, reduces the risk of missed enrolments and duplicate accounts, minimizes manual data entry, and allows education providers to manage larger numbers of learners more efficiently.
